    The Proposal Administrator (PA) is a highly organized individual who is detail-oriented and can effectively support the executive team in its pursuit of new business.  This entails administrative activities related to preparation of proposals and estimates/bids including editing, formatting, and compiling information and documentation in an organized and timely manner.  The PA has excellent written and oral communication skills and has a professional presence that is conducive to interaction with external parties such as subcontractors, engineers, vendors, et al.   Previous experience in writing, organizing and managing design and construction proposals is a big plus as is the ability to work under time pressure to produce outstanding proposals.  Prior experience with large agencies (MTA, PANY/NJ, NJT, NYCEDC, DDC, et al) would be highly relevant to this position.

    Responsibilities

    • File documents, log correspondence, send correspondence and documents in a timely manner; track various deliverables related to proposals and bids. Follow company best practices.
    • Manage a database of company profiles, individual resumes, project information, photos and administrative records pertaining to past project performance.
    • Schedule appointments and arrange meetings.
    • Track documentation related to proposals and bids.
    • Follow-up with vendors, subcontractors, consultants and other stakeholders as required in the preparation of bids, proposals and pre-award documentation.
    • Edit/proofread documents, forms and RFP-related paperwork.
    • Compile, sort and log-in invoices, subcontractor/vendor quotes and schedules.
    • Support the executive team by maintaining various logs as required.
    • Provide administrative support to the executive team members including copying and recordkeeping.
    • Work with IEP’s affiliated company proposal managers, estimators and business development teams to collaborate on producing proposals and qualification documents in response to RFQs, RFPs and related solicitations from various city and state agencies.

    Qualifications

    • Excellent computer skills to include Word, Excel, Outlook/E-mail.
    • Strong organizational skills. Ability to create and maintain a large database of documents to ensure version control and timely retrieval to respond to RFQs and RFPs in an expedited manner.
    • Excellent communication skills both verbal and written - internal employees and external vendors.
    • Professional demeanor.
    • Responsive and timely.
    • Ability to assimilate and process large amounts of administrative information related to proposals.

    Education/Certifications

    • Bachelor’s Degree in business, management, communication or related field preferred.
